By registering in the Hereda App, you authorise us to process your personal data under the terms described below. Your consent is voluntary, informed and revocable.
1. Who is responsible for your data
Hereda (Hereda Limited - company number 17363929) is the company responsible for processing your personal data. We are registered in England and Wales, and we operate in Colombia through our Hereda App platform.

This policy complies with Law 1581 of 2012 (Colombian Personal Data Protection Law) and its implementing decrees, as well as with the UK GDPR rules applicable to our operation as a company registered in the United Kingdom.
2. What data we collect
We collect the following data about you as a farmer:
- Identity data: full name, national ID (cédula de ciudadanía) number
- Contact data: mobile phone number (WhatsApp)
- Farm data: municipality, department, crop(s), hectares
- Geospatial data: GPS coordinates and boundary polygon of your plot or plots
- Documents: national ID and property title or land tenure document
- Production and sales data: kilograms sold, harvest period, quality, date and time of transactions
- Other data necessary to keep you compliant with agricultural trade regulations in force, including the EU Deforestation Regulation (EUDR) and any future applicable rules
3. What we use your data for
We use your data for the following purposes:
- To create and manage your agricultural digital identity (Mi Sello ID: HRD-CO-XXXXX)
- To verify that your farm meets traceability and deforestation-free requirements
- To automatically generate the Due Diligence Statements (DDS) required by the EUDR so exporters can sell your production to Europe
- To share your verified information with the exporters, cooperatives and other supply chain entities that buy your production
- To communicate with you about the status of your registration, field officer visits and platform updates
- To comply with applicable legal and regulatory obligations
4. Who we share your data with
We share your information only with entities that have a legitimate interest in the traceability of your agricultural production:
- Exporters and traders: who buy your cacao or coffee and need your data to comply with European import regulations
- Cooperatives: that you are a member of, and that act as intermediaries in the supply chain
- Agricultural supply chain entities: any actor with a legitimate interest in tracing the origin of the products, such as European buyers, certification bodies or regulatory authorities
- Technology service providers: who help us operate the platform (cloud storage, mapping services), under confidentiality agreements
In the future, and with prior notice and an update to this document, we may share anonymised or aggregated data with insurers, financial institutions or other services that may directly benefit you as a farmer.
5. Legal basis for processing
We process your data on the basis of:
- Your explicit consent, given at the moment you register in the app
- Compliance with legal and regulatory obligations (Law 1581/2012, EUDR)
- The legitimate interest of guaranteeing agricultural traceability and access to international markets
6. How long we keep your data
We keep your data for a minimum of 5 years from your last active transaction on the platform, or for the period required by applicable regulations, whichever is longer. The EU Deforestation Regulation (EUDR) requires traceability records to remain available for at least 5 years.
You can request the deletion of your data at any time (see section 8), unless a legal obligation prevents us from doing so.
7. Security of your data
We apply technical and organisational measures to protect your data: encryption in transit and at rest, role-based access restrictions, secure offline synchronisation via local SQLite, and periodic security audits.
8. Your rights
Under Law 1581 of 2012 and the UK GDPR, you have the right to:
- Access, update and correct your personal data
- Request the deletion of your data when it is no longer necessary for the purposes of processing
- Withdraw your consent at any time
- File complaints with the Superintendency of Industry and Commerce (SIC) of Colombia or the Information Commissioner's Office (ICO) of the United Kingdom

9. International data transfers
Your data may be processed on servers located outside Colombia (including the United Kingdom and the European Union). In all cases we apply appropriate safeguards in accordance with Colombian regulations and the UK GDPR.
10. Changes to this policy
We may update this policy when necessary. We will notify you of any relevant change through the app. The current version will always be available at hereda.co/privacy
